ACTIVITIES of UCIR

In line with the assigned responsibility the following activities are being carried out by the department of international relations:

The gamut of UCIR activities from A to Z:

A. To facilitate admission process for foreign students

  • Foreign students admission process is carried out in compliance with the process flow map provided in AMET University quality manual.
  • Foreign student’s eligibility for admission is checked in compliance with the guidelines provided in the Association of Indian Universities, which is the nodal agency for granting academic equivalence to the degrees awarded by the accredited foreign universities/Institutions for the purpose of admission to higher courses.
  • UCIR guides the foreign students in filling admission and declaration forms and retrieves the testimonials into its custody.
B. To provide orientation and counseling to the foreign students before and after the admission
  • Addresses all international students nationality wise and make them to appreciate about the cultural differences and similarities between their own country and India with special emphasis to cultural climate of Chennai.
  • Emphasizes the International students to develop an attitude to ‘Respect Diversity’ through regular counseling sessions every month
  • Conducts orientation programs to international students upon their arrival to AMET University.
  • Enables to identify student’s representatives for various nationalities and authorize them as the nodal point for any communication with AMET management and dissemination of information to their respective nationalities.
C. To maintain data base of foreign students studying at AMET University.
  • UCIR maintains a complete database of international students as per country, as per sponsor, as per gender and as per courses.
  • The systematic inflow and outflow of international students is meticulously managed by periodically updating the international student’s database.
D. To address the academic and nonacademic grievances of the foreign students.
  • UCIR convenes regular meetings with all the international students and their representatives to receive and resolve the genuine grievances and short comings as perceived by the students with respect to academic, hostel, mess and extracurricular activities. UCIR facilitates to work out the modalities to improve the academic performance of foreign students and adopts initiatives to identify the root cause for poor performance and to mitigate the same through special coaching.
E. To be the custodian of foreign students Passport, Residential permit and testimonials. >
  • UCIR convenes regular meetings with all the international students and their representatives to receive and resolve the genuine grievances and short comings as perceived by the students with respect to academic, hostel, mess and extracurricular activities.   • Passports and testimonials of foreign students are kept in safe and the same returned to them upon completion of their respective courses.
F. To assist foreign students to get their visas, residential permits and extending the same.
  • UCIR does the registration of foreign students with Foreign Regional Registration Office, Chennai, to ensure authorized stay, smooth and systematic learning of the foreign students at AMET University.
  • Besides initial registration UCIR coordinates the extension of Registration permit, Visa and passport by preparing necessary documents to secure online appointment with FRRO Office.
G. To facilitate the issuance of Uniforms and sports suits to foreign students.
  • UCIR Coordinates with the administration of AMET University to facilitate the issuance of Uniforms and sports suits to foreign students.
  • Coordinates with the sponsoring companies to receive and disseminate working apparels to respective students.
H. To arrange periodical cultural meet exclusively for foreign students.
  • UCIR assists to the extracurricular talents of international students by organizing cultural activities.
  • Welcomes international students to express patriotism by celebrating their country’s independence day and other special day as recognized by their country.
I. To provide update about the academic progress of foreign students to their respective sponsors.
  • UCIR keeps the sponsors of International students updated about their students progress with respect to academic activity and disciplinary issues
  • AMET delegation has been visiting the sponsoring countries on a regular basis in order to have a close up understanding of their training needs based on which training offered at AMET is customized in such a way to elevate the trainees to an “industry ready” status upon completion of their respective program.
J. To liaise with Head of the Departments of foreign students regarding academic activity.
  • UCIR corresponds with the Heads of the Department of foreign students in person and via email to get the academic update of foreign students, the same is sent to the sponsors as progress report on a monthly basis.

K. To liaise with wardens of foreign students regarding nonacademic activity.
  • UCIR liaises with chief warden and warden for all the nonacademic assistance sought by foreign students.
  • Wardens regularly interact with UCIR department and take approval for transport and funds for exigencies related to foreign students.
L. To liaise with Department of accounts to facilitate issuance of pocket money and funds for exigencies incurred by foreign students.
  • UCIR liaises with Department of accounts to facilitate the dissemination of monthly pocket money to foreign students.
  • Further UCIR sends approval note to the department of accounts to deliver the amount requested by foreign students and to recover the same from their monthly pocket money.
M. To liaise with catering officer with respect to the food aspects of foreign students.
  • UCIR liaise with catering department and keeps the officer in charge updated about the current strength of foreign students.
  • Special food request made by sick students are informed to catering department through UCIR.
  • Representations made by students with respect to menu are reviewed by UCIR with canteen in charges and subject to victual ling limitations appropriate measures are adopted.
N. To liaise with the Department of Physical Education to facilitate sports activities of foreign students.
  • UCIR liaises with the department of physical education for the Intramural and extramural sports activities of foreign students.
  • UCIR coordinates the inclusion of foreign students in all sports activity offered by AMET University.

O. To coordinate with the sponsors regarding the arrival and departure flight ticket schedule of foreign students.
  • Arrival and departure of foreign students are coordinate through UCIR.
  • Upon receipt of arrival information UCIR keeps the other departments updated and gears them up to receive the incoming foreign students.
  • Food, transport and accommodation information are passed through UCIR to those department handling such facilities thereby ensuring smooth inflow and outflow of foreign students.
  • Upon successful completion of the courses, UCIR corresponds with sponsors and facilitates the safe and secure repatriation of international students.
P. To facilitate issuance of study material to foreign students
  • UCIR coordinated the issuance of brief study material in the respective subject to help foreign students assimilate the concepts and to express it in an enabling manner which would secure them a good score in their subjects.
Q. To facilitate issuance of Identity card to foreign students.
  • UCIR coordinates with the Public Relations office and with the department of information technology for the preparation and dissemination of Identity card to foreign students.
R.To facilitate the issuance of Bona fide certificate, Residential permit and Financial guarantee certificates.
  • UCIR Coordinates the issuance of Bonafide, Residential permit and Financial guarantee certificates with office of the registrar.
  • Request for Bonafide certificates arising from foreign students are reviewed and processed by UCIR prior to approval by registrar.
S. To be present as a member in committee’s convened to inquire foreign students
  • UCIR takes an integral part all the committee’s convened to inquire foreign students
  • UCIR is a signatory to the observations of the committee about foreign students, a copy of which is sent to sponsors to keep them informed.
T. To arrange health insurance for foreign students.
  • UCIR negotiates with health insurance companies to strike a deal and secure health insurance for foreign students during their stay at AMET University.
  • • Hospitalization and Non hospitalization expenses incurred by foreign students are reclaimed under the health insurance policies.
U. To facilitate training and development of English language skills
    UCIR coordinates the facilitation of English language training and development for foreign students with IELTS department and the department of English.

V. To facilitate opening and closing of Bank account for foreign students.
  • UCIR coordinates bank account formalities of foreign students during their stay at AMET University.
  • Any other special requests sought by foreign students are taken by UCIR for direct liaison with the branch manager of the bank for necessary action.
W. To facilitate medical checkup and treatment of foreign students.
  • Foreign student’s medical checkup and treatment are performed by the resident doctor at AMET University.
  • Based on the resident doctor recommendation UCIR coordinates further checkup and treatment of foreign students with the multispecialty hospitals with which AMET university is having an understanding.
X. To maintain the annual strength of foreign students since inception.

Y. To facilitate the availability of university transport for foreign students.
  • UCIR coordinates with the public relation office and transport in charge to chart the pickup and drop timings of foreign students from their hostel to university and vice versa.
  • Further UCIR enables availability of transport to foreign students for pick and drop to the airport at the time of their arrival and departure, to the foreign registration regional office and for medical care.
Z.To provide course and fees information inquired by foreign students aspiring to join AMET University.
  • Admission enquiries from foreign students are handled by UCIR.
  • The aspiring foreign student is asked to email the details of his/her testimonials to UCIR for processing the eligibility criteria.
  • Fees information for the course opted by the foreign student is provided by UCIR.
